How to Evaluate a Coffee Robot Site Before Deployment

A practical checklist for evaluating demand, workflow, utilities, service access and operating responsibilities before deploying an autonomous coffee station.

A coffee robot changes what a venue can serve, but it does not change what a venue must already have. Before any model is selected, the site itself decides most of the project: whether demand is real, whether utilities are ready, and whether someone will own daily operation. Evaluating these factors first is the difference between a pilot that runs from day one and a machine that sits waiting for conditions nobody checked.

1. Size the demand before the machine

Start with footfall and appetite rather than equipment. Count how many people pass the proposed spot on a normal day, note when the peaks come, and estimate how many cups a realistic menu would serve. A venue with strong morning traffic and a short coffee menu puts very different demands on throughput than a hotel lobby serving guests across the whole day. Venue footprint, expected daily cups, peak-hour throughput, menu and customer experience goals are the inputs that drive every later decision.
Demand shape also points to the right category of machine. 2. Walk the utilities and the workflow

The physical checklist is short but unforgiving: confirm power, water, drainage, connectivity, installation space, cleaning access and ingredient replenishment routes for the planned location. Each item has a habit of surfacing late. A socket without capacity, a floor drain on the wrong wall, a payment or monitoring connection that drops, or a replenishment route that crosses the busiest corridor at peak hour — none of these stop a purchase order, and all of them stop a robot.
Walk the route an operator will actually take: where supplies are stored, how often the machine is refilled, where cleaning happens, and what the customer sees during each of those tasks. Sites that look identical on a floor plan can behave very differently once this walk-through is done.
A site that cannot answer who refills it, who cleans it, and who calls for service is not ready for a robot — no matter how good the footfall looks.

3. Assign operating responsibility before launch

Unattended does not mean unoperated. Someone owns replenishment, cleaning and a daily visual check; someone monitors machine status and decides when an issue is a fix on site or a case for remote diagnostics. Agreeing on this before deployment — and confirming how training, spare-parts coordination and lifecycle guidance will work — turns the machine from an experiment into an operated service with a clear escalation path.

4. Pilot one site, then standardize

The deployment pattern that travels well is deliberately unglamorous: assess the venue, demand and workflow; configure the robot, payment and service interfaces to local requirements; pilot one site; validate the operating model; then standardize the configuration for wider rollout. Localization choices such as interface language, menu, payment and data integration belong in the pilot, where corrections are cheap.
